Like most Windows programs, Advanced Scheduling provides a combined menu and toolbar system for accessing the various features of the application.

There are a variety of options available on the Menus and Toolbars.  Some options are available on both and some options are available only on one or the other.  Toolbar Icons and menus will hide if not applicable to the view you are using.

The toolbars appears as small buttons, by default, at the top of the Advanced Scheduling window.  Individual toolbars can be dragged and docked to any corner of the window and have the ability to float. Move the toolbar by focusing the cursor on the 4 dots at the start of the toolbar and right click to select it.  Settings are remembered on exiting the program but not remembered after upgrading to a new version of Advanced Scheduling.

The default toolbars and a brief description of the buttons within each toolbar are below.

Calendar View Toolbar

Day, Work Week, Week, Month buttons control the days showing in the Calendar Display.

Timeline view flips axis time to (x) horizontal and axis resources to (y) vertical.

Summary view shows a summary of daily appointment information for each resource.

These three buttons give greater viewing flexibility through grouping.

No Grouping - the Calendar display will be filtered by day.

Resources with Appointments Only - the Calendar display will be filtered to only show Resources with Appointments.

All Resources - will display all resources.

Resources with Actuals – display only those resources have Appointments with actuals.

These four buttons give greater viewing flexibility of Appointments.

Bold/Dim Time Entries with no Actuals - Toggle button to highlight Appointments which have no Actuals posted against them.

Bold/Dim Time Entries due for Retrieval - Toggle button to highlight Appointments which have not had their Time Entries posted yet.

Bold/Dim Time Entries that have been Retrieved - Toggle buttons to highlight the Appointments which have been retrieved / posted.

Bold/Dim Time Entries that are not Recording - Toggle buttons to highlight the Appointments which are currently in time recording.

View Appointment Icons - Toggle button to hide icons appearing on Appointments.  Turning Appointment Icons off gives Advanced Scheduling a performance boost mostly noticeable when working with large data sets.

Show Retrieval Status Icons - Toggle button to hide all retrieval status icons appearing on Appointments.

Show Dispatch State Icons - Toggle button to hide all dispatch state icons appearing on Appointments.  Dispatch icons are useful if you wish to color appointments by any criteria other than dispatch states.

 

Gantt View Toolbar

Show Non-Work Days - displays weekends and holidays with dotted pattern.

Show Out-Of-Hours - displays out-of-hours periods with grey-hatched patterns.  In Job List View, the out-of-hours period is determined by the site with which the currently visible job is associated. If no job is currently selected then the out-of-hours period will be determined from the selected Service Center.  If no Service Center is selected (in the toolbar if available) then the configured system business hours are used (from the VM options form).

Show Non-Parent Time Entries - helps to stop double booking of resources by showing a grey ghosted highlighted bar for the period the resource is booked for in other appointments.

Show Available Resources button will open the Available Resources Window.

Equalize Job List Control Heights – make the heights of the Job List and the Job Gantt the same.  If the Available Resources pane is also open then all three areas will have the same height.

Lock Assigned Resources button locks the visible Job down from editing. The Lock Assigned Resources option is sometimes locked by user security.  When the Lock Assigned Resources is turned on a padlock will appear below the cursor when moved over an appointment.  Appointments that are locked can not be modified.

Snap rounds off appointments to the nearest increment when dragging or stretching.  Increments are chosen by the drop-down menu.

Reschedule Job opens the Reschedule Job window where changes to the Job's date and time can be made.

Standard Toolbar

New Drop-down menu contains 3 options:

New job (CTRL + N) - Opens the VM Document Entry program where a new Job can be entered.

Quick Document Entry (CTRL + U) - Opens the VM Quick Document Entry program where a new Job can be entered.

Document Entry Search (CTRL + R) - Search Window of the VM Document Entry Program is loaded and a New Job can be entered.

Recent lists a number of recently opened Jobs. The number of Jobs to list can be specified in the Tools>Options>General Tab.

Opens the selected Job in Document Entry where modifications can be made.

Save forces a save of any changes made to the document and/or time entries.  If Instant Save is on (the default setting) then a padlock will be included in the icon and changes to the data will be saved as soon as they are made.  This icon will grey out if all changes have been saved. If Timed Save is active a clock will be included in the icon and changes to the data will be automatically saved at predefined time intervals.  If Manual Save is on then changes will only be saved once the toolbar button is pressed.  Save settings are configurable in the Data Tab of the Tools > Options Window.

Refresh causes all loaded data to be refreshed from the database.

The items shown within the Print drop-down menu will vary depending on which view you are currently working in, and which (if any) controls you have currently selected within the User Interface:

Hide Docking Panes maximizes the current view by hiding all docking panes.  Checking it again restores to the previous view.

Recorder opens the VM Recorder program where labor charges can be created.  When completed, a time entry will appear in the appointment for the actual time recorded when using this program.

Map opens the Address Viewer window to display the job's location on Bing or Google Maps. Map settings are configurable from within the Routing Tab of the Tools > Options Window.

Appointment Summary reference feature to quickly list the number of Jobs, Appointments and Resources scheduled on specified dates.

View My Jobs Only displays the logged on User's Jobs.  

There is a security setting in Administrative Services on the  Desktop to lock the View to the Current User only at all times.  This allows an employee to see and modify their jobs only without affecting or viewing other jobs.

Edit Toolbar

Copy/Paste the existing appointment details

Add a New Appointment opens the Add Appointment window.

Open the Selected Appointment opens the Edit Appointment window.

Delete the Selected Appointment after confirmation, the Appointment will be deleted.

Anchor Appointment locks the appointment at the current date and time by setting the “Anchor” flag on the Appointment.  Anchored appointments cannot be dragged or resized within any of the Calendar or Gantt views.

The Recurrence navigation buttons take you to the first, previous, next and last appointments in the recurrence group (respectively).  Not all buttons may be enabled at the same time, depending on which appointment in the recurrence group you have currently selected.

Job List Toolbar

Load Job List By Visible Date Range will load all jobs for the period specified in the Display Range search option

Clear Selected will clear the jobs in the Assigned Resources Bar.

Clear All will clear the Job List View Bar.

Job List Column Selector will open the List Setup tab in the Tools > Options Window where selected columns can be included, excluded and repositioned. Changes made by this method will be saved on exiting Advanced Scheduling.

Dragging column headers directly to a different position while in Job List View, will modify the columns for the current view only but will not be saved on exiting Advanced Scheduling.

Right clicking in the Column description of Job List View will show a list of options including hidden, best fit and align.  Changes made to the columns from this menu will save on exiting Advanced Scheduling

Goto Date Toolbar

Today - Brings the view back to the selected date. (Default = Login Date)

Date - The Viewed date can be changed manually or by using the up and down arrows or expanding the calendar with the more (down arrow) button.

Go - Load appointments for the selected date.

Period - Specify a listed year, (1 year prior, current year and four years into future) month and date to view.

Previous Month, Previous Week, Previous Day, Next Day, Next Week, Next Month - buttons display day/weeks/months back or forward from the current day displayed.

First / Last appointment - Move to the first or last appointment for the selected job. (Available when in Job List View only)

Zoom - Change time slot range being viewed.

Zone - Changes the Appointment Coloring to be determined by Zone.

Business Hours - Sets the current View to Business Hours range, which is set up per site and/or Service Center.

Toggle Auto Zoom - Automatically changes the zoom  to fit the selected appointment on screen.

Zoom to Job Span - Displays the entire Job on screen.

Job List Zoom Options can be changed in the Gantt tab of the Tools > Options Window, to Zoom to Job Span by Phase, Time Entry or Entire Span.

Zoom in, Zoom Out - Contract or expand the date range in View.  This feature can also be used with the mouse wheel in combination with the control key to Zoom in and Zoom out in either of the Calendar or Job List Views.

Appointment Tool Tips - Toggle button to turn Appointment Tool Tip hovering on or off. Tool Tip hovering properties are managed in the Labels Tab of the Tools > Options Window.

Time Recorder Toolbar

Start - Begins a Time Recording against the selected Appointment

Pause - Pauses the started Time Recording.  

Stop - Finishes the Time Recording against the selected Appointment

Post - Inserts the Time Recording into the Actuals Group of the Time Entry Tab within the Edit Appointment Window

Cancel - Cancels the Time Recording
